AGREEMENT BETWEEN CUSTOMER AND ASA TRAVEL, LLC
Welcome to the asana.asia website (the “Website”). This Website is provided solely to assist customers in gathering travel information, determining the availability of travel-related goods and services, making legitimate reservations or otherwise transacting business with travel suppliers, and for no other purposes. The terms “we”, “us”, “our” and “ASA Travel” refer to ASA Travel, LLC, a Viet Nam LLC. The term “you” refers to the customer visiting the Website and/or booking a reservation through us on this Website, or through our customer service agents.
You acknowledge that the ASA Travel LLC pre-negotiates certain room rates with hotel suppliers to facilitate the booking of reservations on your behalf. You also acknowledge that the ASA Travel LLC provides you services to facilitate such booking of reservations for a consideration (the “facilitation fee”). The rate displayed on the Website is a combination of the pre-negotiated rate for services reserved on your behalf by the ASA Travel LLC and the facilitation fee retained by the ASA Travel LLC for their services.
Travel booking can be made through our Website or our offices.
DEPOSIT AND FINAL PAYMENT
To book a trip, you are required to make a non-refundable payment of 10% of total service cost (but not less than 100USD per person). Once a deposit is received it is understood that you have read, understood and accepted all our Terms of Services.
For charter transport booking, a onetime full payment needs to be made successfully no later than three days prior to service date. The term successfully hereof means cash has been fully deposited to ASA Travel’s account.
Full payment for all accommodation and requested services (except charter transport as mentioned above) must be received 30 days prior to your arrival in Vietnam via bank wired transfer. You are liable for all fees incurred in the payment process, including payment gateway processing fee, currency conversion fee.
All bookings are effective and confirmed only after you have transferred your deposit and it has been received by ASA Travel.
We will endeavor to process your booking request immediately and normally send you confirmation of bookings within 48 hours. However, at times confirmation maybe delayed due to slow notification from 3rd party agencies, public holidays and international time zone differences. Booking requests made for periods within the peak tourist season may also experience delays as demand for services can be high and difficult to secure especially at short notice.
If your deposit is not received in a timely manner, ASA Travel reserves the right to cancel your reservations & requests for services automatically.
TRIP DOCUMENTS AND VOUCHER
Travel documentation will be sent to you electronically by email normally 48 hours after we have received your deposit. All documents should be printed out, retained and carried with you as a receipt and proof of booking.
In order to make your bookings, ASA Travel will require the following information:
- Passport number and expiry date,
- Date of birth, and
Children under 2 years: free of charge if they shares bed & meals with their parents.
2-10 years inclusive
- 50% adult tour price if sharing room with parents without extra bed
- 80% adult tour price if sharing room with parents with extra bed.
CANCELATION AND REFUND POLICY
You may cancel or change your prepaid reservation, but you will be charged the cancellation or change fee. If you do not cancel or change your reservation before the cancellation policy period applicable to the service you reserved prior to your date of arrival, you will be subject to a charge equal to applicable nightly rates for hotels, full service rate for tours, tax recovery charges and service fees.
Cancellation for Accommodation: Normally hotels will not charge a cancellation fee if notice of cancellation is given Not Less Than 14 Days prior to the check-in date. In the event you do not show for the first night of the reservation and plan to check-in for subsequent nights in your reservation, you must confirm the reservation changes with us no later than the date of the first night of the reservation to prevent cancellation of your reservation.
Cancellation fee for charter transport:
- 14 days prior to service date: 50% of total paid.
- 7 days prior to service date: 100% of total paid
Cancellation for other services:
- Greater than 30 days before service date, no charge.
- 21 – 29 days, 25 % of total paid.
- 10 – 20 days, 50% of total paid.
- 5 – 9 days, 75 % of total paid.
- Less than 5 days: 100 % of total paid.
Cancellation needs to be sent by email, or in-person. The date of cancellation is the date on which the written cancellation arrived in ASA Travel’s mailbox or nearest business day if the notice arrives on holidays.
Refund: Refund will be transferred to your account which you used for payment online after deduct cancellation fee, within 20 working days.
ASA Travel reserves the right to cancel any service prior to the scheduled service date. On occasions, we may be required to cancel some trips due to several reasons. In the event of service cancellation by ASA Travel, you may choose between an alternative service of equal cost or a full refund. ASA Travel is not responsible for any incidental expenses that you may have incurred as a result of your booking, including but not limited to: visas, non-refundable flights etc. If the alternative trip chosen is of a lower value than that originally booked then you are entitled to a refund of the price difference. If the alternative tour chosen is of a higher value then you will be required to pay the price difference.
Unused Services: No refunds or exchanges can be made with respect to accommodation, meals, sightseeing tours, transport or any other services, included in the tour price, but not utilized by the tour members.
ASA Travel utilizes the services of several third-party providers including road transportation, airline, train companies as well as hotels, tour operators and other contractors. To the best of ASA Travel’s knowledge, these third parties are qualified to perform the duties they are contracted to perform. However, they are third party providers and as such, we are not liable for any loss, injury or damage sustained, additional expenses incurred due to but not limited to delays, accidents, natural disaster, political action or unrest, etc.
Arranging suitable travel insurance is solely the responsibility of individuals visiting Vietnam. ASA Travel is not responsible to ensure personnel are suitably covered. We strongly recommend you arrange travel insurance with a reputable company prior to arriving in Vietnam. At a minimum your coverage should include: full reimbursement of medical and transportation expenses in the event of illness or accident resulting in injury, incapacity or death, repatriation to your home country, cancellation, curtailment and loss of luggage and personal effects. ASA Travel does NOT provide insurance.
You are responsible for ensuring that you meet foreign entry requirements and that your travel documents, such as passports and visas (transit, business, tourist, and otherwise), are in order and any other foreign entry requirements are met. ASA Travel has no special knowledge regarding foreign entry requirements or travel documents. We urge customers to review travel prohibitions, warnings, announcements, and advisories issued by the relevant governments prior to booking travel to international destinations.
Passport and Visa: You must consult the relevant Embassy or Consulate for this information. Requirements may change and you should check for up-to-date information before booking and departure. We accept no liability if you are refused entry onto a flight or into any country due to your failure to carry the correct and adequate passport, visa, or other travel documents required by any airline, authority, or country, including countries you may just be transiting through. This includes all stops made by the aircraft, even if you do not leave the aircraft or airport.
Health: Recommended inoculations for travel may change and you should consult your doctor for current recommendations before you depart. It is your responsibility to ensure that you meet all health entry requirements, obtain the recommended inoculations, take all recommended medication, and follow all medical advice in relation to your trip.
Disinfection: Although not common, most countries reserve the right to disinfect aircraft if there is a perceived threat to public health, agriculture or environment. The World Health Organization and the International Civil Aviation Organization have approved the following disinfection procedures: (1) spray the aircraft cabin with an aerosolized insecticide while passengers are on board or (2) treat the aircraft’s interior surfaces with a residual insecticide while passengers are not on board. Travel on a tour arranged on your behalf by ASA Travel requires a degree of flexibility and you must understand the trip’s route, accommodation and modes of transport are subject to change without prior notice due to local circumstances.
Should ASA Travel deem it advisable to amend an itinerary for any reason, it may do so by shortening, varying or re-routing any trip. These changes are binding and additional expenses will be charged to you if the reason for any alteration is outside the control of ASA Travel.
BY OFFERING TRAVEL PRODUCTS IN PARTICULAR DESTINATIONS, ASA TRAVEL DOES NOT REPRESENT OR WARRANT THAT TRAVEL TO SUCH AREAS IS ADVISABLE OR WITHOUT RISK, AND IS NOT LIABLE FOR DAMAGES OR LOSSES THAT MAY RESULT FROM TRAVEL TO SUCH DESTINATIONS.
BANK AND CREDIT CARD FEES
Some banks and credit cards impose fees for international transactions. Your bank may convert the payment amount to your local currency and charge you a conversion fee. This means the amount listed on your credit or bank card statement may be in your local currency and therefore a different figure than the figure shown on the billing summary page for a reservation booked on the Website. In addition, a payment gateway processing fee may be applied if payment is issued via credit card. The currency exchange rate and foreign transaction fee is determined solely by your bank on the day that they process the transaction.
